Scholars @ Bentley: Students - Submission Guide

This guide is designed to help familiarize you with our open-access institutional repository, Scholars @ Bentley.

Welcome!

Thank you for your interest in submitting to the Scholars @ Bentley institutional repository. If you are a Bentley student or alumni, this page will take you through all of the necessary steps to post your work. You will also find information about the benefits of posting - including download statistics, stable linking, and more. 

Step 1: Create an account

If you have not done so already, start by creating an account profile on Scholars @ Bentley. 

  • Visit scholars.bentley.edu and click "My Account" in the top menu.
  • On the next page, click "Sign Up" near the bottom of the widget to create a new account.
  • Follow any remaining prompts to create your bepress account. 

Note: Your account will help you track submissions and downloads; please avoid making duplicate accounts for a single author. 

Step 2: Complete the Student Work Permission Form

In order to add your scholarly work to the repository, you must complete the Student Work Permission Form. Each submission to the repository must be accompanied by this signed form. 

Please read this form very carefully as it outlines all of the responsibilities that you have as the contributing author, including those regarding copyright and FERPA.

Please ensure that your signature on the form is hand-written; we are unable to accept typed signatures at this time. You may scan a signed copy and email it to scholars@bentley.edu to be approved. Alternatively, you may bring a printed, signed copy to the Library Services desk and a staff member will scan and upload the form for you. 

Step 3: Select work to post

Before submitting work to the repository, please ensure that it meets the criteria for acceptance.

In most cases, student work should be submitted under the guidance of a faculty advisor. 

Note: If you are submitting a published work, please pay particular attention to copyright and ensure that you have the right to submit to an institutional repository. We highly recommend using SHERPA/RoMEO, an online tool that helps you to locate relevant copyright information by journal title or publisher name. You may find instructions on our Permission Checks Page. 

Step 4: Submit to Scholars @ Bentley

Self-submission through Scholars @ Bentley is a very easy process! You will fill out a form with information about your work, and upload your files. A few items of note:

  • File Upload: Submissions may include a single file or multiple files (supporting documents, datasets, etc.) in a wide variety of formats. Please contact us if you have difficulty uploading your files.
  • Keywords: Please include at least one keyword that you feel identifies your work. This greatly helps in making your work discoverable to other scholars.
  • Disciplines: You must select at least one discipline from the list. Please select as many disciplines as are appropriate for your work. In doing so, you are adding your submission to the Digital Commons Network, a searchable scholarly database. This is likely to increase use of your work over time.

Step 5: Track progress & continue to submit!

After you submit a work to the repository it will be reviewed by the Scholars @ Bentley team and then posted to the site. 

All posted submissions will be issued a stable link that you can use to share your work online. Posted submissions will also become part of the Digital Commons network and can be searched alongside works from hundreds of other academic institutions.

As a contributor, you will have access to an Author Dashboard which you will see linked when you log into your bepress account. This will allow you to track views and downloads of all of your posted content with date and location information.
